In this mailing, you will find a letter from Bishop Fairley as well as basic information about our upcoming event. Please take time to read everything, as there are deadlines that need your attention.

CONFERENCE LOCATION AND DATES: The plenary sessions and worship services of the conference will be held at the Northern Kentucky Convention Center (NKYCC) in Covington, KY.

Additional Special Meals will be added as they are scheduled.
REGISTRATION: PLEASE READ THIS SECTION CAREFULLY. We are asking that everyone pre-register online again this year. ONLINE PRE-REGISTRATION WILL BE OPEN UNTIL MAY 15. If you don’t have internet access, please go to a local library or be in touch with someone in your local congregation for help.
To register online, go to www.kyumc.org/ac2018registrations (until May 15). Here, you will be asked to complete your contact information. You can also register online for child care and preferences for Church Beyond: An Afternoon of Service & Learning (see below). When you arrive at Annual Conference you will simply be given your nametag and a bag with any additional handouts.
After you have submitted your registration, you should receive an email confirmation (to the email address you included in the registration). If you do not receive a confirmation email, contact Linda Thomas firstname.lastname@example.org or 1-800-530-7236) to make sure your registration is complete.
If you choose not to pre-register, there will be an opportunity to register onsite at Annual Conference. However, child care reservations will not be available at onsite registration.
HOTEL ROOMS: Hotel rooms are blocked at a variety of hotels in the vicinity of the Northern Kentucky Convention Center (NKYCC). All rooms in the block are being managed and assigned by the housing bureau through the NKYCC. The rate varies at each hotel. Room rates are available until May 18th or until all rooms are reserved. Also, if you need to cancel a room, please do so by May 18th. For best availability and immediate confirmation, make your reservation via internet with the noted links. You should receive a confirmation upon completion of your reservation. Please note that several hotels are already full, as some persons made reservations earlier when the information was posted on our website. Please note that securing a hotel room does NOT mean you are pre-registered for Annual Conference. Please see the previous section for registration information.
LAY MEMBERS: If you are unable to attend or have received a packet in error, please give these materials to the correct person or your alternate and immediately notify Linda Thomas at the Conference Office (email@example.com or 1-800-530-7236, ext. 300). Please also contact Linda to update your contact information if it has recently changed.
WEBINAR FOR FIRST TIME LAY MEMBERS
There will be a first time delegate webinar on Tuesday, May, 8th at 7 pm ET/6 pm CT. Gina Lyon will be leading this one-hour session that will give an overview on what to expect at Annual Conference. To register, go to www.kyumc.org/ac2018registrations. If you aren’t able to participate in real time, the webinar will be recorded and posted on the conference website for future viewing.
CHILD CARE REGISTRATION: Child care is offered during all sessions and during the lunch breaks, for your convenience. Child care will be held at the Northern Kentucky Convention Center. While the service is provided for free, we are asking for a $20 registration fee per child or $30 per family with more than one child. This fee will be returned after conference if the children participate in all sessions for which they are registered. The decision to collect this fee was made by the Program & Arrangements Committee based on information shared by our previous child care provider, who indicated that we were paying for staff not needed when children didn’t show up to all the sessions reserved.
Who – Infants – Age 12
When – During all regular sessions of the Conference, both day and evening. Child care will be open during lunch. Child care will be closed during the 2-hour dinner break.
What – Vacation bible school activities appropriate for each age level
Lunch is available to purchase for $10 per child, per day. If you prefer, you can pick up your child during this time.
SPECIAL NEEDS: If you have any special needs (accessibility, seating arrangements, visual aids, interpretation, etc.), please indicate these as you register online or contact Judy Noel at firstname.lastname@example.org or 1-800-530-7236, ext. 309 by April 15. Large-print worship bulletins will be available at the information desk.
SPANISH INTERPRETATION/TRANSLATION: Please see online registration to request interpretation of sessions. Later in the spring several of the reports will be available in Spanish on our website www.kyumc.org/ac2018. Spanish worship bulletins will be available at the information desk at the convention center.
TRANSPORTATION AND PARKING: Parking is available in an attached, covered garage for a charge (it is recommended that you park in this structure and not in the open-air lot next door). All of the hotels, with the exception of the Red Roof Inn, are located on the Southbank Shuttle bus system, which provides service to and from the Northern Kentucky Convention Center and many restaurants in the area. Bus passes (3-day passes) are available for $10.00 and can be ordered at: https://www.tankbus.org/fares/buy-passes.
FOOD AND LOCAL ATTRACTIONS: There are many restaurants close to the Northern Kentucky Convention Center. For your convenience, maps and locations for nearby restaurants and local attractions will be available at the Information/Message Center near the registration area. As they are scheduled, a list of special meals (seminaries, interest groups, etc.) will be updated on our website: www.kyumc.org/ac2018.
AWARDS: Every year Annual & District Conference awards are given in the areas of evangelism, special needs ministries, ecumenism, higher education and refugee ministries. Check our website for details and applications: www.kyumc.org/ac2018. The deadline for all awards is April 1.
CHURCH BEYOND: AN AFTERNOON OF SERVICE AND LEARNING: On Tuesday, June 12th, all conference members, spouses and teenagers are invited to participate in a time when we will move beyond the walls of the church and serve and learn together (please reserve child care for younger children). We will wear conference t-shirts (size choices will be listed on registration). A variety of opportunities will be available, including projects at the Convention Center. This will be a wonderful way to share Christ with the surrounding community. Registration for Church Beyond… is part of the process when you register online by May 15th at www.kyumc.org/ac2018registrations
One of the groups at Church Beyond… will put together Health Kits for the United Methodist Committee on Relief (UMCOR). Our Goal is 2,000 kits. You are invited to bring the following items according to your district:

This year we are also featuring several Learning Options (included in registration options):
New Church Development Workshop - Bill Couchenour, director of deployment at the church-planting organization Exponential, will be the featured speaker at the New Church Development luncheon. He will be discussing “Level 5” churches and leaders. Bill will also lead a workshop on how to empower Christians and church leaders to make disciples who multiply the ministry of the gospel through making more disciples. In his role at Exponential, Bill primarily serves network and denominational leaders and assists them with Exponential’s resources. He has served churches across the country for more than 30 years. He was Florida district manager for 12 years, then CEO/president for 17 years at Cogun, a company committed to helping churches develop the right ministry space. Bill received a bachelor's degree in business administration from Youngstown State University and a master’s degree in business administration from the University of Tampa. He is the author of the books Churches... Before You Build and Church Building Programs — Why, When & How and co-author of Unleashed! Finding Epic Adventure in Everyday Life. He and his wife, Pam, have four adult children and three grandchildren.
“Why is worship FLOW important?” Workshop – Chuck Bell has served in United Methodist churches full time as a music and worship designer since 1996, and served in worship ministries in other denominations since 1988. Currently serving as an independent consultant, he is nationally known as a clinician, arranger, and musician. He has partnered with churches from the North Georgia Conference of the United Methodist Church, as well as in other states, assisting worship and arts ministries with planning, organizing, and the redesigning of traditional and contemporary services and the exploration of new opportunities in a wide variety of denominational and non-denominational churches. Communications Workshop – Launching An Engaging Web Ministry – Telling stories of faith and sharing messages through the digital world is vital to helping your church engage the community. In today’s environment most people research a church online before they decide if they will fellowship in person. Come join United Methodist Communications as we share best practices and effective techniques for creating a broader online presence for your church. This workshop will lay the foundation for planning and implementing an online strategy to help members and seekers connect with a church’s story through a church website and social media outlets. Participants will also learn about online communication trends, the application of emerging tools and how to utilize an engaging web ministry to open their doors to the community.
New this year is Rise Against Hunger. More than 350,000 volunteers package meals through Rise Against Hunger’s meal packaging program every year. It is a fun, hands-on service project that is suitable for all ages.
Our assembly process combines rice, soy, dehydrated vegetables and a flavoring mix including 23 essential vitamins and minerals into small meal packages. These meal packages are shipped around the world to support school feeding programs and crisis relief. The food stores easily, transports quickly and has a shelf-life of two years.
BLING FOR A BLESSING: Back again – buy jewelry that is new to you and support missions. This year proceeds from the jewelry sale will benefit the Annual Conference Mission Offering (see below). You are also asked to provide donations of jewelry in good condition. You can either give it to your District Superintendent prior to conference or bring it with you when you arrive.
MISSION OFFERING: Each year, all churches in the Kentucky Conference are invited to participate in a mission offering at Annual Conference. The Mission Offering for 2018 Annual Conference will support Africa University and our Campus Ministries here in the conference. Bishop Fairley and the extended cabinet challenge all Kentucky United Methodists to give generously to this year’s Annual Conference Mission Offering. To support this challenge, Bishop Fairley and the members of the extended cabinet have agreed to contribute personally to the Mission Offering. RUN FOR THE CHILDREN 5K to benefit IDA SPENCE MISSION of Northern Kentucky
Sunday, June 10 @ 6:00 pm
This event will be held on Sunday June 10th at 6:00pm at Lunken Playfied, 4740 Playfield Lane, Cincinnati, OH 45226. The Run for the Children 5K features and out-and-back course that will take runners and walkers around the scenic bike trail to a turnaround. The trail is fully paved and mostly flat. All pre-registered participants receive a free race t-shirt – make sure to pre-register to get the size you want. Post-race refreshments will be provided by Higher Education. Next to the race area are children’s playgrounds and covered picnic areas. It’s fun for the whole family!

PRE-CONFERENCE REPORT BOOK: At the 2011 Annual Conference, a new Standing Rule was adopted which states: The Director of Connectional Ministries must post the pre-Conference reports online no later than thirty (30) days prior to start of Annual Conference. While in previous years the report book was mailed to all members, it will NOT be printed and mailed to members this year; therefore, please see below for instructions on accessing the reports (which we anticipate will be available online to view or to order by mid-April).
You can get your preconference report book in the following ways:
The price per book, with an additional shipping charge according to your preferred shipping method (overnight, regular USPS, etc.), will be posted on the website when the book is ready to be mailed.
